Scenario 1: Create Records for Newly Purchased Consumables

Situation: The warehouse purchased a new batch of cartons that need to be created in the system so usage can be recorded at shipping time.

How to do it:

  1. Click the "New" button
  2. Select the Merchant the consumable belongs to, or choose "Warehouse-owned"
  3. Enter the carton name, e.g., "Small Carton 20x15x10"
  4. Enter the barcode (use the purchase barcode or a custom number)
  5. Enter the dimensions (length 20, width 15, height 10)
  6. The system calculates the Volume automatically
  7. Click "Save" to finish

Result: The consumable is created; shipping can record which consumables were used and how many, supporting later cost analysis.


Scenario 2: Find a Carton of a Specific Size

Situation: A merchant asks whether there is a carton suitable for a product of a certain size, and you need to find matching consumables quickly.

How to do it:

  1. Enter "carton" in the search box
  2. Check the dimensions of the cartons in the list
  3. Compare the lengths, widths, and heights
  4. Find the most suitable carton

Result: Consumable specifications are looked up quickly, making it easy to compare size options and respond faster.


Scenario 3: Review the Consumable List for a Stocktake

Situation: A month-end consumable stocktake is due and you want to know which consumable items exist in the system and their book quantities.

How to do it:

  1. Open the consumables list page
  2. Do not apply any filters
  3. Review the full list together with the "Quantity" column
  4. Count the physical stock against the list

Result: All consumable items and book quantities are visible at a glance, serving as the stocktake reference and revealing missing items.


Scenario 4: Update Consumable Specifications

Situation: A supplier changed the specification of a carton and the dimensions in the system need updating.

How to do it:

  1. Search for the carton name
  2. Click the name to open the detail page
  3. Click the "Edit" button
  4. Update the length, width, and height
  5. The system recalculates the Volume automatically
  6. Click "Save"

Result: The data stays accurate and the Volume remains correct, helping with freight estimation.


2. Feature Guide

Cartons, bubble wrap, tape, and other packing consumables are all managed here. Once your frequently used consumables are set up, the system records which consumables and how many are used each time you pack a shipment, making usage and cost tracking easy.

💡 What is a consumable? Consumables are packing materials used during warehouse shipping. They are not products sold by merchants but materials used to pack products — cartons of various sizes, bubble bags, packing tape, cushioning, label stickers, etc.

3.1 FAQ

▪ How is the "Volume" calculated?

The system calculates the Volume automatically from the length, width, and height you enter (in cm). The displayed unit follows your company setting: "Cubic Feet (CUFT)" or "Cubic Meters (CBM)". Volume is an important basis for estimating freight and storage costs.


▪ What does "Warehouse-owned" mean?

A consumable can belong to a specific Merchant (packing material dedicated to that merchant), or have no merchant and be shared by the whole warehouse — these are shown as "Warehouse-owned".


▪ Is the Barcode required? Can it be customized?

Yes, the Barcode is required. You can use the original barcode on the packaging or define an internal number. The key rule: barcodes cannot repeat within the same Merchant (or within the "Warehouse-owned" scope).


▪ What if a consumable has no fixed dimensions?

For consumables without fixed dimensions (tape, cushioning, etc.), the length/width/height fields are optional. Leave them blank or enter the package dimensions.


▪ What is the difference between consumable management here and in the merchant portal?

The warehouse system manages consumables of all merchants in the organization plus "Warehouse-owned" consumables, and the owner can be assigned at creation. The merchant portal only manages that merchant's own consumables.


▪ Why can't I see a certain consumable?

Check whether the consumable's Merchant is within your management scope. You can see consumables of the merchants you have permission for, plus "Warehouse-owned" consumables.


▪ Can a consumable be moved to another Merchant?

Yes. Open the consumable's edit page and reselect its owner in the "Merchant" dropdown (a merchant or "Warehouse-owned"); the change takes effect after saving.


▪ Can a consumable's Barcode be the same as a product's barcode?

Yes. Consumables and products are managed separately, so identical barcodes do not conflict. To avoid confusion, however, we recommend a different numbering scheme for consumables.


▪ Can the list be sorted?

Yes. Click the column headers such as Consumable Name, Barcode, Quantity, or Created At to sort.


▪ Can I customize which columns are displayed?

Yes. Click the column settings button at the top right of the table to show or hide columns.

  • The Barcode must be unique within the same Merchant (or within the "Warehouse-owned" scope)
  • Consumable data of different companies is isolated from each other
  • Use names that include the specification (e.g., "Small Carton 20x15x10") for easier searching and identification
